Production, reported every morning

Before the workshop opens, the owner gets one page on their phone: what went out yesterday, what came in, whether that was a good day, how long customers are waiting and where the backlog stands. Every figure comes from the help desk, the timesheets and the books, joined and checked.

Yesterday we completed 38 jobs and 4 warranty returns: 42 units out, against 51 new orders. We also closed 22 activities.

Good or not? No: new orders outran us (−9), and 38 jobs is 31% under a normal day lately (55).

Per technician hour: 8 technicians worked 64 hours: 0.59 jobs per hour against a normal 0.66, a little below the normal rate. The same day last week ran at 0.91 (104 hours against 64).

Timesheet problems this week: Owen Hart (Mon: no hours and no leave booked, so confirm a day off). Hours on that day may be short until it is fixed.

This week so far (Mon–Mon): 38 jobs, 57 behind the 95 by the same day last week. New orders 51 against 70.

October so far: 158 jobs against 190 new orders, so the backlog grew by 20. In September by the same point it shrank by 28.

Wait times: stagnant. 4 in 5 jobs are finished within 10 working days of arriving, the same as a week ago. 10+ days: Iota 13, Alpha 12, Delta 11, Eta 11, Theta 10. 5–9 days: Epsilon 8, Beta 8. Better than a week ago: Iota, Theta, Epsilon, Zeta.

Falling behind this week: Theta (0 done, 8 new), Delta (4 done, 11 new), Epsilon (0 done, 7 new).

Backlog = new orders minus units out: ▼ it shrank (we cleared more than came in), ▲ it grew. Red = behind the column to its right, green = ahead. A normal working day lately: 55 jobs and 60 new orders. Warranty returns are re-work on jobs already counted, so they add to output but never clear an order.

Weekend orders are added to the Monday after. A run of red means the backlog is building: four working days in a row here.

How these are counted one definition per number, the same every day

Job = an order finished for the first time, as recorded on the help desk. A ticket reopened later is never counted twice. Warranty return = re-work on a returned unit: extra work, never inside jobs. New orders = paid orders from the books by order date, one per order; cancelled orders and shipping-only charges never count. Activity = a help-desk task closed by a technician; late = closed after its due date. Technician hours = hours on the payroll timesheets, leave and holidays excluded; a day with no hours and no leave booked is flagged by name. Wait time = working days from the unit arriving to the job being finished, weekends and company holidays skipped.

Example from client work. Products renamed Alpha to Iota, technicians renamed, and every figure changed, so the business cannot be identified.
